
Happy New Year! The beginning of the year usually encompasses getting organized. We clean out files and our email inbox, and get all our tax records ready for filing. However, there are a number of things that tend to get overlooked in the midst of beginning the new year.
Tasks employers should address and make a standard practice each January:
- Payroll Documents: Most years new tax forms are put out for employers to use. It is important to check Federal, State and City tax forms so you can begin using the latest version.
- I9 Forms: Just like tax forms, these are occasionally updated by the federal government. Be sure to check the expiration date on your I9 forms and ensure that you are using the correct form.
- Handbook Policies: Each year new HR regulations go into effect. Your handbook policies need to be updated to ensure compliance. Some years may only have minor changes, but years such as 2024/2025 have had significant changes that require immediate attention.
- Employee Posters: Based on new regulations and changes to existing law, employee posters need to be updated each year. These are mandatory postings that must be placed where employees can view them.
- Employee Files: Conducting an annual audit of your Employee Files is an important way to ensure that your documentation is complete, and you are in compliance.
All of these steps are important to reduce liability and to prepare for a productive year ahead. Each of these, when done on a timely basis, become easier to complete and also sends a great message to your team. Team members appreciate professional organizations with updated documents and processes.
